The Dispatch Officer will be responsible for coordinating daily dispatch operations, ensuring orders are accurately prepared and dispatched on time, and maintaining proper documentation and system records. The role will also provide support to sourcing, processing and warehouse operations where required.

KEY RESPONSIBILITIES

Dispatch & Order Coordination

• Coordinate daily dispatch activities to ensure orders are fulfilled accurately and within the required timelines.
• Monitor vehicle loading and verify that products loaded correspond with the respective orders.
• Ensure all dispatched products meet the required quantity, quality and company standards.
• Coordinate with warehouse and operations teams to ensure smooth and timely dispatch.

Documentation & Systems

• Prepare, verify and maintain dispatch documentation, including delivery notes, loading schedules and related records.
• Accurately update dispatch information in the ERP system.
• Maintain proper records of dispatched orders and support reconciliation of dispatch documentation.

Sourcing & Processing Support

• Support the sourcing team with product sourcing and related operational activities.
• Assist with banana ripening and processing activities as required.
• Coordinate with relevant teams to ensure products are ready for dispatch within the required timelines.

Compliance & Operations

• Ensure compliance with company safety, quality and operational procedures.
• Identify and promptly escalate any dispatch discrepancies, delays or operational challenges.
• Support continuous improvement of dispatch and fulfilment processes.
• Perform any other duties assigned by the supervisor.

REQUIREMENTS

• Diploma or Degree in any field from a recognized institution.
• 2–3 years’ experience in dispatch, warehouse, logistics, supply chain or a related operational role.
• Proficiency in Microsoft Excel and Microsoft Word.
• Experience working with an ERP system is an added advantage.
• Good communication and interpersonal skills.
• Strong planning, coordination and organizational abilities.
• High attention to detail and accuracy.
• Ability to work under pressure, meet deadlines and operate effectively in a fast-paced environment.
• Previous experience in fresh produce, FMCG, warehouse or agricultural supply chain operations will be an added advantage.
