Key Responsibilities

  • Identify, monitor, and evaluate tender opportunities from government, NGOs, private sector organizations, and other institutions.
  • Coordinate the preparation, compilation, and timely submission of tender documents and bid proposals.
  • Manage the end-to-end tendering process, ensuring compliance with tender requirements and deadlines.
  • Prepare and review Requests for Quotations (RFQs), Requests for Proposals (RFPs), and other procurement documentation.
  • Source, evaluate, and manage suppliers, contractors, and service providers.
  • Conduct supplier negotiations to secure favorable pricing, quality, and delivery terms.
  • Coordinate tender opening, evaluation, clarification, and award processes.
  • Maintain an up-to-date database of tender opportunities, supplier records, and procurement documentation.
  • Liaise with internal departments to develop tender specifications and procurement requirements.
  • Monitor contract performance and ensure adherence to agreed service levels.
  • Prepare procurement reports, tender status reports, expenditure analyses, and supplier performance evaluations.
  • Support vendor prequalification and due diligence processes.
  • Ensure compliance with company procurement policies and applicable regulations.
  • Assist during internal and external audits by providing procurement and tender-related documentation.
  • Perform any other duties assigned by management.

Qualifications & Experience

  • Bachelor’s Degree in Procurement & Supply Chain Management, Business Administration, Finance, or a related field.
  • Professional certification and membership with KISM or a relevant professional body will be an added advantage.
  • Minimum 3 years’ experience in procurement, purchasing, and tender management.
  • Demonstrated experience in preparing, submitting, and managing successful tender bids.
  • Strong understanding of procurement regulations, tendering procedures, and contract management.
  • Experience in supplier negotiations and vendor relationship management.
  • Proficiency in Microsoft Office applications and procurement management systems.
