The Sourcing & Stock Controller Officer will play a critical role in ensuring a reliable supply of quality fresh produce and FMCG products while maintaining accurate, real-time inventory records across sourcing, warehousing, processing and dispatch operations.

The role combines supplier sourcing and management, procurement support, inventory control, warehouse operations, stock reconciliation, ERP management, quality control and compliance.

The successful candidate must be comfortable working in a fast-paced operational environment, handling early-morning dispatch deadlines and maintaining a high level of accuracy and accountability.

KEY RESPONSIBILITIES

1. Sourcing & Supplier Management

• Identify, vet and maintain relationships with farmers and suppliers.
• Source quality fresh produce and FMCG products in line with business requirements.
• Negotiate pricing and supply terms to achieve cost-effective procurement.
• Monitor supplier performance, availability, quality and reliability.
• Coordinate timely movement of produce from farms and suppliers to the Processing Hub.
• Use operational and market data to improve sourcing decisions and minimize costs.

2. Stock Control & ERP Management

• Ensure all stock dispatches are accurately recorded both physically and in Odoo ERP.
• Verify that dispatched products match customer orders and the correct depots/routes.
• Ensure daily dispatch processes are completed within the required timelines.
• Reconcile physical stock, manual records and Odoo records, investigating and resolving variances promptly.
• Process returned stock through the required quality-control procedures before re-entry into the ERP system.
• Maintain complete and accurate inventory records.

3. Inventory Reconciliation & Accountability

• Verify purchased quantities against actual quantities received and dispatched.
• Prepare daily inventory and stock-variance reports.
• Ensure all inventory intakes are properly closed, matched to invoices and reconciled before shift closure.
• Investigate stock variances, losses and discrepancies and ensure timely resolution.
• Reconcile third-party/customs declarations against actual inventory records where applicable.
• Maintain 100% accountability of stock and assets at the end of each shift.

4. Warehouse & Operations

• Monitor adherence to stock handling, storage and dispatch procedures.
• Reconcile stock positions to ensure availability while minimizing losses and shrinkage.
• Monitor shift performance and prepare relevant operational reports.
• Identify opportunities to improve warehouse and inventory processes.
• Recommend practical process improvements and automation opportunities.

5. Quality, Safety & Compliance

• Ensure all sourced products meet required quality standards.
• Monitor quality checks on incoming and returned stock.
• Ensure compliance with Taimba’s SOPs, quality standards and operational procedures.
• Enforce workplace safety requirements, including PPE and daily safety routines.
• Support closure of audit, risk and compliance findings within agreed timelines.

6. Product & Asset Management

• Receive, verify and reconcile products and assets entering the facility.
• Ensure all products and assets are properly recorded and accounted for.
• Manage the reconciliation and handover of returned products and assets.
• Maintain accurate documentation throughout the product and asset movement cycle.

QUALIFICATIONS & EXPERIENCE

• Diploma or Bachelor’s Degree in Supply Chain Management, Procurement, Logistics, Business Administration, Agriculture, Warehouse Management or a related field.
• 2–4 years’ experience in sourcing, inventory control, warehouse operations, stock management or a related role.
• Experience in FMCG, fresh produce, retail, agribusiness or a similar fast-moving operational environment is highly desirable.
• Proven experience in supplier sourcing, negotiation and relationship management.
• Hands-on experience using an ERP system, preferably Odoo, for inventory and stock management.
• Strong understanding of inventory control, stock reconciliation and warehouse processes.
• Proficiency in Microsoft Excel and inventory/data reporting.
• Knowledge of quality-control and inventory-audit processes.
